Investor Data Self-Service: Keep Investor Data Current with Less Manual Work

✨ What's new

Investors can now update their own profile information, AML/KYC documents, and contact details and preferences directly in the Investor Portal. Every change is reviewed by fund admins before it reaches IDM, so firms keep full control over what goes into the investor record.

👥 Who can use it

  • GPs managing investor data in IDM, who can request reviews from investors and approve or decline the changes investors submit
  • LPs with Edit-level Profile Access, who can update their information for each investment entity they are associated with, from the Investor Portal > Profiles tab

💡 Why it matters

Investor data changes over time, from new addresses and updated tax forms to changes in authorized contacts. Keeping these records current has traditionally relied on the fund admin team, with manual follow-ups and email exchanges that grow with the investor base.

Investor Data Self-Service brings:

  • Fewer manual updates: Investors submit changes themselves, so fund admins no longer need to collect and enter each update by hand
  • Confidence in data quality: Every investor change is reviewed field by field before it is applied to IDM
  • Proactive data refresh: Firms can ask investors to review and confirm their data ahead of key moments, such as fund onboarding or periodic AML/KYC refreshes
  • One place to track it all: GP-led review requests and investor-initiated updates appear together in a single task view, where fund admins can monitor progress and send reminders across many investors at once

⚙️ How it works

Set up investor access

In the Communication Matrix, fund admins choose each contact's Profile Access level:

  • View: The contact can see the investment entity's data in the Portal
  • Edit: The contact can also propose updates.
  • Access can be set at the entity level, the investment level, or both, to match each contact's role

For LPs

Investors with Edit access can manage their own data directly in the Portal, at their own pace:

  • Update anytime: Change profile details, upload new documents, and manage contacts for each investment entity whenever something changes, without contacting the firm
  • Respond in one place: Confirm current information or submit changes in response to a firm's review request, all from the same Profiles tab
  • Stay in the loop: See which updates are still under review, so there is no need to follow up by email

For GPs

  • Review investor updates: Each investor submission appears as a task, where fund admins can choose the final value for each changed field: Update to investor's value applies the change to IDM, or Keep current value keeps the existing data
  • Request a review when needed: Fund admins can ask investors to confirm their data:
    • Before key milestones, such as a closing or an AML/KYC refresh
    • When an investor needs a direct link to update their information in the Portal
    • Fund admins can follow up on pending requests with Send reminder

→ Email notifications keep investors and fund admins in sync at every step, from the first review request or investor update to the final review.
